We’re hiring for General Technical Assistant (Planning).

KEY RESPONSIBILITIES:

  • Focal point for travel trips, which includes coordinating international and domestic travel requests. Keep record of travelers for crisis response management.
  • Responsible for the general day-to-day office administrative support which includes preparation of presentation materials, complex or large scanning and printing, organize workshop and training materials.
  • Focal point for weekly highlights. Responsible for the timely compilation of the weekly highlights from the Team Leaders.
  • Focal point for Team’s Weekly/Monthly Meetings. Responsible for organizing the team’s weekly/monthly meetings which include booking of calendar, book venue and arranging refreshments.
  • Responsible for on-boarding and off-boarding of staff.
  • Responsible for document management (includes administering group-specific files in certain cases, sending older files to off-site storage, etc.) Format and perform quality check for COMPANY Reports, arrange escalation for complex-formatting requirement.  Distribute and e-file copies.  Provide documentation support for departmental Quality System.
  • Responsible to purchase stationeries for the team. Maintain and monitor sufficient stationery stocks and spending.
  • SAP P16 Responsible to perform general SAP services which include creation and monitoring of WO, PR, PO and SE to ensure timely settlement of invoices.
  • Travel claims to support Project Managers and Delivery Leads in travel claims for travel trips.
  • Timewriting focal point for CATs and SKF. Responsible for timely submission of Timewriting sheets and update to Sharepoint timewriting site to ensure timely cost recovery.
  • Maintain and update COMPANY Stack Plans, as necessary.
  • Other Support Tasks include responsibility to manage office move activities; manage hot-desking arrangement, maintain department email distribution list, emergency contact list and staff movement records; create and update departmental organigrams.

 

REQUIREMENTS:

  • Good communication and interpersonal skill – ability to communicate and interact with all levels of internal and external stakeholders.
  • Proficient in written and oral English & Bahasa Malaysia languages
  • Experience with Sharepoint, e-travel system and Concur systems.
  • Experience in SAP P16 modules.
  • Assignment duration is dependent on development of the projects
